Clarity Human Services is excited to announce another case management software feature update! This feature update further enhances the functionality of Clarity Human Services, and is tailored for Coordinated Assessment activities. As such, it is important to review this blog in order to understand these changes, as your Clarity Human Services software will have new features for you to enjoy. For example, we have added a new ‘Scanning’ mode into the Attendance Tool, which will allow you to easily check in your clients using the Clarity Human Services Passport scan cards. There are several very exciting Assessment and Referral updates as well, which will enhance the experience of both end-users and System Administrators alike.
Together, these new features continue to make Clarity Human Services the most user-friendly client management software available.
1. System Configuration Tools
1.1 Service Items: Addition of Service Taxonomy
The System Administrator can now custom categorize Service Items across the system. This makes it possible to capture how many people received a specific type of service across agencies, and the System Administrator can now change the Service Item Name without affecting related reports.
Under Setup >> Settings >> System Variables, there is a new section titled Service Taxonomy. From here, you can create a Taxonomy category, then load Taxonomy Codes and Descriptions for each Service Item.
When creating or editing a Service Item, there are Service Taxonomies available to assign to the Service Item (multiple are possible). First select the Taxonomy category, then select the individual Code/Description. These are then linked to the Service Item. An individual Service Item can have multiple Service Taxonomy stored to it.
1.2 New ‘c_’ prefix automatically added to custom fields
For system structure purposes, there will automatically be a ‘c_’ prefix applied to all custom fields.
1.3 New “tracking_method” Live Marker added to Screens
It is now possible to add “tracking_method” as a live marker when creating a screen, making it possible to add “tracking_method” display constraints to standard screens.
Using this live marker to set screen constraints will allow specific fields to be visible only to certain programs such as Night by Night Shelters.
1.4 1.4 New Functionality for Restoring Deleted Client Placements
When a program is deleted, a timestamp of when that program was deleted is stored. Upon program restore, only client placements that match the deleted date of the parent entry are restored – any clients that have entries prior to that are not restored.
2. Race Field Update
HUD, along with most national databases, have updated the way that race must be documented. It is now required to make it possible for the client to select all race types that apply to them (as opposed to selecting only ‘Multiple Races’).
The Race data field in Clarity Human Services has been changed to comply with this new requirement. However, it is still possible to document ‘Client Doesn’t Know’, ‘Client Refused’, and ‘Data Not Collected’.Important Note: A corresponding update has been made to export functionality to comply with new HUD XML 4.0 and CSV 4.1 export requirements for the new race field.
3. Other Cool New Features
3.1 Topaz Systems – Signature Pad – Browser API Integration
The Signature Pad can now be used from any browser on any hardware ce. Please contact us for more information about this plugin installation.
3.2 New Client Forms: Agency and Program-Specific
3.2a Agency-Specific Forms
On the Agencies >> Overview tab, there is now a section where users can add forms from a global form list.
The default ‘Enable All Client Forms’ will always be checked by default.
This setting can then be Disabled by unchecking the option. When unchecked, you will have the ability to select specific Client Forms for use. You can remove/add Client Forms to match local requirements. This operates similarly to how Documentation Requirements can be added/removed from a Manage->Program page.
The potential pool of Clients Forms is generated from the Client Forms that are uploaded in Setup >> Settings: Client Forms in the sidebar.
These forms populate the list of potential forms a Client can have completed on the Client >> Files section.
If NO forms are selected as available to the client, the entire Client Forms section disappears (e.g. Enable All Client Forms is unchecked and no forms are added to the list). There must be at least one form type assigned to the agency from this list for the section to appear.
3.2b Program-Specific Forms
In Program Setup, there is now an option for “Program Forms” which, when enabled, will allow the user to select the specific forms to make available after a client has enrolled in program. This process mimics that of Agency-Specific Forms described above, and is also similar to how Program Assessments are configured in Manage >> Programs. If Program Forms is Disabled, the tab for Program Forms does not appear.
The selected Client Forms are then available in the Program >> Forms tab. This tab will display only those Client Forms that are connected to that Program for potential addition. It also allows for selection of all forms in the system, but only those forms selected as available under the program come up when working with a client.
If Program Forms are enabled, but no Forms are assigned, the Forms tab will be absent. There must be at least one entry connected to it in order for this tab to be available.
3.3 Client Unique ID Now Included on the Merge Screen
The Client Unique ID is now displayed on the merge screen in order to prevent mistakes in deleting the wrong account.
3.4 Attendance Tool: Highlighted HoH Client
This was an excellent suggestion from a Clarity Customer. The Head of Household (within a client group) is now indicated in the sidebar when conducting a search within the Attendance Tool.
3.5 Static Header Navigation
In order to make your job a little easier, we have also implemented functionality that keeps the header on the screen as you scroll down the page.
3.6 Export Functionality
Export functionality has also been changed to accommodate new requirements in CSV 4.1.
