The Assigned Staff section (figure 1) of the client record displays staff members who are associated with a client in Clarity Human Services. Multiple staff members may display as assigned staff.
Clicking the icon for the assigned staff member, which will either display as their initials or uploaded avatar, will display additional information about the staff member. This includes their full name, the agency their account is assigned to, phone number, and email address (figure 2).
|Note: a staff member will only display in the Assigned Staff section to staff members at another agency if the Assigned Staff member’s agency’s sharing settings are configured to share Service/Programs/Assessments Placed with the other agency.|
Staff members are added to the Assigned Staff section in three different ways: adding a program enrollment, being assigned as a case manager in a referral, and being assigned as a navigator in a referral to the Community Queue.
Program Enrollment: when a staff member records a program enrollment in a client record, that staff member will automatically be added to the Assigned Staff section. Staff will remain in the Assigned Staff section until an Exit is recorded for the enrollment.
Program Referral: when a staff member is selected as the Case Manager in a referral, that staff member will be added to the Assigned Staff section. Staff will remain in the Assigned Staff section until the referral is Denied, Expired, or Completed.
Assigned Navigators: when a staff member is selected as the Navigator for the Navigator field in Community Queue, that staff member will be added to the Assigned Staff section. Staff will remain in the Assigned Staff section until the referral is until the referral is Denied, Expired, or Completed.
Reassigning Assigned Staff
The assigned staff member can be reassigned by editing the associated enrollment, referral, or navigator information.
To reassign the assigned staff for a referral, navigate to the referral in the History tab of the client record and update the assigned staff member in the Referral: Edit section of the referral.
To reassign the assigned staff for a Navigator, edit the Referral in Community Queue and update the Navigator.
To reassign the assigned staff for an enrollment, edit the enrollment history, either from the History tab or Programs tab of the client record. Click the edit icon next to the enrollment you would like to edit the assigned staff for (figure 3).
In the panel to the right of the enrollment, you will see an Assigned Staff section, which can be edited by clicking the edit icon (figure 4).
