When a status assessment is due in a client record, Clarity Human Services will send a reminder (Assessment Due Warning) to notify the assigned staff member that the due date is approaching.
Who gets the reminders?
Reminders are sent to the staff member assigned to the program enrollment. You become assigned to an enrollment automatically when you create the enrollment. The assigned staff member can also be selected manually. You can see if you are currently assigned to an enrollment by going into an enrollment and viewing Assigned Staff (figure 1), or by checking your Caseload tab.
What if I'm not receiving reminders?
First, check to make sure that you are the assigned staff member for the enrollment. If you are the assigned staff, be aware that the Assessment Due Warning setting is set when an enrollment is created. If a different staff member is assigned to the enrollment, then after that change, the staff member should check the Assessment Due Warning and if desired update the setting. For more information about Assessment Due Warning settings, see Setting Up Your Staff Profile.
What if I don't want to receive notifications or want to receive them on a different schedule?
You can change the Assessment Due Warning setting for your Caseload from your Staff Profile, but this change will only impact enrollments you are assigned to after the change is made. Current client records will remain on the old notification schedule until their enrollments end. You can also change the Assessment Due Warning setting at the client record level.
Change setting for your Caseload
By default, all Clarity Human Services staff members have Assessment Due Warnings set for two weeks prior to the due date of the assessment. You can change this setting in your Staff Profile (figure 2).
Changing setting for just one enrollment
Assessment Due Warnings can also be set at the enrollment level and can be viewed within the enrollment (figure 3).
In figure 3, the Assessment Due Warning is turned off for this enrollment. To change this setting, click the edit icon (figure 4).
Toggle on Assessment Due Warning (figure 5).
Select the desired warning time and save the change (figure 6).
Figure 7 shows what will display on the enrollment screen when the Assessment Due Warning is enabled. Select the edit icon beside “ON” to verify how many days before the due date the warning will be sent.
