This section discusses how to manage multiple agency sites, including how to add and edit sites.
Managing Agency Site Locations
To manage agency site locations, select the Sites tab in the Manage section. Here you can manage the information for a single site location or for multiple agency sites. Agency sites can be linked to new programs in the Add a New Program Screen or added to existing programs in the Modify Program Screen.
Adding An Agency Site
To add an agency site, select the Add New Site link at the top righthand side of the center screen. The examples below show how to add a secondary agency. This will take you to the Add A New Site screen where you can begin entering the necessary information.
Agency Location & Location Manager
On the Add a New Site screen, start by entering the Site Name and postal address of the agency. Then indicate the Location Manager (i.e. the individual who manages the given agency) and appropriate phone number.
The Geocode is a marker administered by HUD. It is a 6-digit number that corresponds to a particular geographic location within a Continuum of Care (CoC). Most CoCs have multiple geographic areas and therefore multiple geocodes. An updated list of all HUD geocodes is provided annually, and can be found on the HUD website.
Enter the Geocode associated with the geographic location of the principal provider program service site. Scattered-site housing provider programs should record the Geocode where the majority of beds are located or where most beds are located as of the inventory update.
Agency Site Status
After entering the Geocode, indicate your Continuum of Care from the dropdown menu, and enter the site Status as either Active or Inactive.
Should a particular site close or only be open on a seasonal basis, you can switch their status to Inactive. This allows you to deactivate the location while still saving the information for later use.
Enter the Information Date as the day you input the site information to Clarity Human Services. Then, once finished adding information, take care to select Add Record to save all changes before leaving the page.
Editing Existing Agency Information
To edit information for an existing information, mouseover the row containing the given agency, and select the Edit link. This will take you to the Modify Site screen, where you will find the same data fields listed above.
After editing the information, be sure to select Save changes before leaving the page.
