This section discusses how to manage the client Reservation System.
Note: The client reservation system is designed only for residential services with an Attendance Delivery Type.
To begin managing the Reservation System, go to the Launcher icon in the top right, then select Manage. Once in the Manage area, click the Services tab.
Select Add new Service to configure the Reservation System of a new service, or select the edit icon next to an existing service to modify the Reservation System for that service.
Note: If creating a new service, complete the Create a New Service screen (see Creating Housing Services for instructions on creating services), and then select Add Record.
Configuring/Modifying the Reservation System
Once in the Services: Detail screen, begin to add or modify the service items (see Creating Housing Services for for instructions on creating service items).
The configuration for the Site Type of the Service record must be set to a residential type in order for the Housing Options section to appear in the Service Details screen. The following fields need to be configured for the record to be saved successfully.
To successfully save the Service Item record, this field must be populated indicating whether or not the service item is available to households with a child and adult, without children, or with only children.
Check this box and Select Dedicated in the drop-down menu. Selecting Dedicated will allow you to create dedicated slots. In contrast, selecting Open will allow the user to create a reservation, but it will not allow for designated slots. This model closely follows the existing logic of Attendance services.
Default Reservation Term
Select a term from the drop-down menu. This is the duration of stay (in days) that each reservation will allow.
Program Enrollment Warning
If enabled, this will generate a warning that alerts the user if the client is not enrolled in the program linked to the service for which they are being placed.
Allow Referred Reservation
This is applicable to residential attendance-based services that are linked to a program. Checking this box will allow an end user to make a reservation while they are generating the referral to the program that the service is linked to.
After the above fields are configured, selecting Save Changes at the bottom of the screen will expand the screen to include the Reservation Sections section and the Reservation Slots section.
After selecting Add Record the screen will expand to include the Reservation Sections section and the Reservation Slots section.
- Reservation Section - This section allows you to categorize the beds available.
- Reservation Slots - This section allows you to configure each particular slot.
To begin organizing your Reservation Sections, select Add Section.
A popup box will appear prompting you to name the particular section. Enter the correct name for all sections.
To begin configuring each individual slot (e.g. bed) select Add Slot. Notice that each time you add a slot, the amount listed in the Beds for Households With/Without Children will automatically make corresponding changes.
Each time you select Add Slot, a slot will appear. Add as many slots as you have available and designate their corresponding sections. Selecting the trashcan icon will delete the slot. Note that you can change the slot name here too.
The deletion of a reservation includes two steps: deletion from the availability tab as well as the pending tab. If a reservation is only deleted from the availability tab, it will remain on the pending tab.
New Feature April 2019: System Administrators will be the only user type with default access to delete reservations. All other user types must have this access granted by the System Administrator.
To grant a user this access, 'Delete Unit Availability Reservation' must be toggled in Access Roles. For more information on editing Access Roles, see Creating or Editing an Access Role.
Users without this access right will not have the option to delete from the Availability tab.
