Report Purpose & Summary
This is a program-based report that provides client demographic details for selected programs for a specified time period of time. For the service-based version of this report, use either [OUTS-105] Client Demographics Report or [OUTS-105-F] Client Demographics Report (Flat Version) under the Service Based Reports Section.
Parameter Options
Program Status | Select the status of the program(s) you would like to include in your report |
Program Category(ies) | Select the Category of Program you would like to include in the report. |
Program(s) | Select the Program(s) you would like to include in the report. The Program(s) displayed for selection will align with the Program Category(ies) selected. |
Veteran Status | Selecting All will generate information for any of the options in the dropdown menu. You can also filter the report information by choosing one or several options |
Report Date Range | Enter the start and end date you to determine the data pool included in the report [Start Date]-[End Date] |
Client Project Stays | Select the Project Stay status you would like to include in the report. |
Select Report Format | You can select Web Page, PDF, or Excel. A Web Page is a functional format that allows you to drill down on data elements to inspect the underlying data supporting it. The PDF is a good option for official reports, grants, etc. If you download the excel file you can can use excel to manipulate the data (e.g. Sort/Check for duplicates, etc.) |

The Program Client Demographics report provides demographic information for persons enrolled in specified program(s) during specified periods of time.

Report Display
The Client Demographics report employs the use of bar/column charts and pie charts to visualize the included data. For each type, a table is included to display details on the data.

Report Data Source
All of the data on this version of the demographic reports pulls information from two places in the client record: The client profile screen and the program enrollment screen.
Any demographic information that is not included in the program enrollment screen (i.e. age, gender, race) is pulled from the client profile screen. For any data elements that appear on BOTH the program enrollment screen AND the the client profile screen, the report will use the information from the program enrollment screen. The program enrollment screen always takes priority to the client profile screen in this report.
For example, if both the client profile screen and the program enrollment screen have Veteran status information, the report will use the information in the program enrollment screen as opposed to the client profile screen. This is because this report is providing a snapshot of the demographic status of clients enrolled in the program, and their demographic information may have changed from the time their profile screen was created.
Program-based vs Service-based Reports
The totals in this report will differ from the service-based demographics report due to the fact that this report pulls from the program enrollment screen, whereas the service based pulls from service placements.
For example John Smith may have one program enrollment but have several services within that program, thus the service-based report totals will be greater than the program-based report totals.
Night-by-Night Emergency Shelter
Please note, for those Emergency Shelter programs that use the Night-by-Night tracking method, at least one bed night service needs to be recorded during the reporting period for the client to be included in the report results.
Drilldown Functionality
Each segment of the Program Client Demographics Report is equipped with drilldown functionality that enables the user to determine specific client information associated with each element.
For example, when drilling down on the total persons amount for the age range of 35-44 years by clicking # of Clients, the user can view a list of clients that are included in this total.
Each client name is associated with their Unique Identifier, Social Security Number, and Date of Birth.
