The Moving Program Enrollments feature is mainly used when a client has been enrolled into an incorrect program, and/or if a program is no longer active and clients need to be moved to a new program.
In order for the program enrollment move to be successful, both the current Program and new Program must have the following:
- Agencies must be within the same CoC
- Same Program Template
Checking the Program Templates
To check a program's template, click the Launchpad icon, then click the Manage button, and lastly click the Programs tab.
Check the template name of the program you are looking to move.
It is necessary to check the Program template of both the current Program and the Program the enrollment is being moved to. If the new Program is within the same Agency, simply scroll to see the rest of the Programs and templates to verify the match.
If the Program the enrollment is being moved to is in a different Agency, you will need to switch to that Agency to verify the Program template. Follow the directions in the Switching Agencies Article if you need assistance. Then once you are in the correct Agency, follow the same steps outlined above to view and verify the program template.
Moving the Program Enrollment
Now you are ready to move the client's program enrollment. To start you need to be in the Agency that the client program is being moved into. Once you are in the correct agency, click the Launchpad icon and then click the Merge tool.
Next, click the Programs tab on the top left and select the Move program tab on the top left.
In the next step, enter the client name in the Search bar, select the correct client with the program enrollment that needs to be moved, then click the arrow icon and the client's program history will appear.
From the list of programs under the client name, scroll to find the program enrollment that is to be moved and click the arrow to the left of the program name.
After clicking the arrow icon to the left, a pop up box will appear to select the receiving program. Toggle on if group (family) member enrollments are also being moved. Click Move and OK to successfully complete the move.
Verifying the Program Enrollment Move
To verify the move has been successful, go to the Search tab at the top right and search for the client under the recipient Agency. In the client's profile, click the Programs tab and verify that the new program is in the program history list to ensure the move has been successful.
