Encampments are user-defined areas in Outreach intended to designate a group of client locations.To view encampments within Outreach, select Encampments in the Outreach Data Filter. To view or edit the details of an existing encampment, click any area within the encampment boundaries.
Clicking the encampment displays the encampment’s name, UID, and a list of clients in the encampment.
Viewing the Encampment Profile
Clicking the Gear icon displays the fields associated with the CoC's designated Encampment Screen. Below the encampment name is its designated UID. Clicking the Copy icon beside it copies the number to your clipboard.
Editing Encampments and Their History
After clicking the Gear icon, the Polygon Editor icon displays.
Clicking the Polygon Editor icon displays the tools used to designate the encampment area, and users can edit the existing area.
After editing, click the green Check icon to save changes to the area and click Save in the Encampment Profile Screen to save changes.
Clicking Audit Log displays details about the creation and editing of the encampment.
Users can track field value and boundary changes to an encampment in the Audit Log. The Audit Log can be filtered based on the change type (field, boundary, or both).
Deleting an Encampment
Clicking the Delete icon deletes the encampment but not the locations within it.
Inactivating an Encampment
An inactive encampment is no longer visible on the Outreach map after the date it was inactivated. The encampment is visible in historical views (i.e., viewing the map using the Time Scrubber). To make an encampment inactive, toggle on Status: Inactive.
Searching Persons in Encampments
In the Persons section, all clients in the encampment area display. Click “Show All” to display all clients in the encampment.
To search for a person by name, you can type the name in the Search person area. As you type, the results are limited to those matching your search term(s). The map only displays clients that meet the search criteria.
Clicking on a client in the search results opens a new tab in the browser and navigates you to the Client Profile of the associated client record.
Creating Encampment Areas
To create a new encampment, click the Add Encampment icon.
The system displays a panel that allows you to make and move selections.
Use the tools to designate the encampment area.
Once you have designated the encampment area, click the checkmark.
Encampment Area Warnings
When creating a new encampment, a system warning displays under a couple of circumstances.
- Polygon boundary validation - if the sides of a polygon intersect each other or do not form a vertex, the following warning displays: “Warning: Polygon sides must not intersect each other, and it must have at least 3 vertices.”
- Encampment boundary-crossing - when creating a new encampment area or restoring a previous encampment, the following warning displays if the encampment area overlaps with another active encampment: “Warning: Encampment boundaries overlap with an active existing Encampment in area. Creating a new Encampment can result in duplicate entries. Please redraw Encampment boundaries.”
Completing a New Encampment Profile
Provide a start date, name, and description for the encampment and complete any fields in the assigned Encampment Screen. After completing the profile, click Save. The encampment you created is now visible on the map.
Encampment Start Date
The Encampment Start Date field allows an encampment to be “backdated.” These backdated encampments display in Outreach for the corresponding time period when viewing the Outreach map using the Time Scrubber. Backdated encampments also are reportable for the corresponding time period.
For encampments created before Bitfocus added the Encampment Start Date field to Encampment Screens, the encampment creation date populates this field. Users can update this date, if necessary.
